Motion Retreat – Terms & Conditions
Please read these Terms and Conditions carefully before booking your retreat.
Your Contract is with Motion London Ltd, trading as Motion, of Cornerstone Studios, 1 Addington Square, London, SE5 7JZ, UK.
1: Booking Procedure
(a) On making a booking with us, each person travelling must accept these Booking Terms and Conditions.
A non-refundable, non-transferable 50% deposit is required to secure your booking.
The balance, also non-refundable and non-transferable, is due 8 weeks before the retreat start date.
You may also pay 100% upfront to confirm your spot.
Payment Plans: Motion offers interest-free payment plans to help spread the cost of your retreat. These must be agreed at the time of booking. Provided all instalments are paid on schedule, no additional fees or interest will apply.
(b) Where a deposit has been paid, a reminder will be sent 9 weeks before departure. The balance is due 8 weeks prior. Failure to pay may result in cancellation of your place, with all payments retained, and cancellation charges applied (see Section 4).
(c) For bookings made within 8 weeks of the start date, full payment is due immediately. Any subsequent cancellation will incur the charges outlined in Section 4.
(d) Your booking is confirmed, and a contract exists between you and Motion only once we send you an email confirmation.

2: Cancellation or Postponement by Us
(a) Motion may cancel your retreat before it begins. In this case, we will refund all monies paid in full, or allow you to transfer your payment to another retreat.
(b) Motion may postpone or reschedule your retreat up to 8 weeks before the start date. You may then transfer to new dates or another retreat, or request a refund.
(c) Compensation is not payable if cancellation or changes are due to force majeure, including (but not limited to) war, terrorism, strikes, civil unrest, pandemics, natural disasters, fire, severe weather, or transport disruptions.
Motion is not responsible for travel costs. Please ensure you book flexible flights or travel arrangements.
3: Insurance
Travel insurance is mandatory. Proof must be provided 8 weeks before the retreat.
Without proof, your booking may be cancelled without refund.
Insurance should cover medical treatment, cancellation, delays, activities undertaken on the retreat, and belongings.
We recommend purchasing within 15 days of booking.
4: Cancellation by You
Cancellations must be made in writing by the person who booked. The effective date is when we receive your notice.
8 weeks or more before retreat: deposit retained.
4–8 weeks before retreat: 75% of total retreat cost payable.
Less than 4 weeks: 100% of retreat cost payable.
If you notify us at least 8 weeks before and we are able to resell your place, we may transfer your booking. Otherwise, normal cancellation charges apply.
Once a retreat has started, no refunds or partial credits will be given for early departure. If covered by your insurance, you may reclaim costs directly from your insurer.
5: Acknowledgement of Risks and Indemnity
You understand that travel, exercise, and wellness activities involve risk, and you participate voluntarily.
You agree to indemnify Motion, its teachers, directors, and contractors against any injury, accident, or claim arising during or in connection with the retreat.
6: Health, Guest Information and Waiver
You must disclose any medical conditions, injuries, or dietary needs before booking.
If your health may compromise your safety, Motion may advise you not to book.
It is your responsibility to consult a doctor to ensure you are fit for yoga, Pilates, barre, and other retreat activities.
7: Food Allergies and Dietary Requests
All allergies and dietary requests must be submitted in writing before booking is confirmed.
Please note, we’ll be offering vegetarian & vegan options during this retreat.
Only requests we have confirmed in writing will be catered for.
If you are unable to eat the menu provided due to unconfirmed requests, no refunds will be given, and early departure costs will be your responsibility.
8: Group Conduct
Guests must behave respectfully towards staff, hosts, and other guests.
Inappropriate conduct includes verbal abuse, aggression, harassment, excessive alcohol/drug use, or culturally disrespectful behaviour. Such behaviour may result in removal from the retreat, with no refund and all costs for early departure payable by the guest.
Guests are expected to treat retreat property responsibly. Any deliberate or negligent damage may incur repair or replacement charges.
9: Activities
Motion will offer guests a selection of group activities as part of the retreat programme. These activities are optional, and participation is at the discretion of each guest.
Any associated costs for these group activities will be funded by the individual guest, unless specifically stated otherwise in your booking confirmation.
Guests who wish to undertake additional or alternative activities outside of the retreat programme should arrange these independently before or after the retreat.
10: Surcharges
Motion reserves the right to adjust prices for transfers or excursions in line with changes in transport costs, fees, or exchange rates.
11: Retreat Prices
Prices include accommodation, meals (as advertised), and scheduled classes.
Prices exclude flights, transfers, insurance, optional activities, and extras not explicitly listed in your booking confirmation.
12: Flights
Motion does not book flights for guests. We may provide recommendations, but you are solely responsible for booking and managing travel.
13: Our Liability to You
(a) Motion accepts responsibility for ensuring retreats are delivered as described, to a reasonable standard.
(b) Motion is not liable for any failure to perform or improper performance of the contract that is:
Attributable to you or another guest’s actions,
Attributable to a third party unconnected with the provision of the retreat services, where such failures are unforeseeable or unavoidable, or
Due to unusual and unforeseeable circumstances beyond Motion’s control (force majeure).
(c) Motion is not liable for:
Medical costs, loss of personal possessions, or travel disruptions outside the retreat programme,
Optional or third-party excursions or activities not booked directly through Motion,
Injuries or accidents sustained during unsupervised time outside the official retreat schedule.
(d) Nothing in these Terms limits or excludes liability for death or personal injury caused by Motion’s negligence, or for fraud.
14: Passports, Visas and Health Requirements
You are responsible for ensuring you have a valid passport, visas, vaccinations, and other necessary travel documents.
15: Complaints
If an issue arises during your retreat, please notify a team member immediately so we can resolve it.
Unresolved complaints must be submitted in writing after your return.
16: Governing Law
This contract is made on the terms of these Booking Conditions, which are governed by English law and subject to the exclusive jurisdiction of the courts of England and Wales, regardless of where the retreat is held.
